SUMMARY: Responsible for the procurement of IT related equipment and supplies and is accountable for ensuring that the procurement process is executed effectively and within policy guidelines. The incumbent pro-actively coordinates and understands the needs of ITS groups in order to supply hardware and software for the unit in a timely and efficient manner. S\he utilizes purchasing, ticketing, and asset management systems to ensure that assets are available as needed and deployed and recorded accurately

ESSENTIAL DUTIES AND RESPONSIBILITIES: Include the following. Other duties may be assigned.

Accountable for all aspects of the technology procurement process including price negotiation, planning, production, inventory control, and quality control.
In conjunction with manager define and implement procurement strategy and policies
Manage details of projects related to IT procurement or inventory management
Establish and meet service level agreements (SLAs) and operating level agreements (OLAs) with both internal groups such as the help desk and external clients
Develop/produce metrics and reports to forecast procurement needs and to demonstrate the performance of the procurement process
Participate in Continuous Improvement activities to ensure the procurement process is functioning at acceptable levels
As needed purchase items that cannot be ordered with a company purchasing credit card and maintain accurate records detailing purchases
Recommends selection of suppliers in accordance with corporate policies and legal compliance
Build and develop relationships with key suppliers as the primary representative of client.
Discuss defective or unacceptable items or services with users, vendors and others to determine cause of problem and take corrective and preventative action.
Responsible for the collection and execution of purchase orders
Tracks purchase orders and reconciles invoices in preparation for timely payment processing
Receives and analyzes proposals, quotations and tender submissions
Assists in establishing enterprise equipment and software licensing standards
Acts as a point of contact for IT in regards to vendor performance, including on-time delivery, overall quality of products, and problem resolution
Assess and report on vendor competencies and on vendor product mix
Assist with budgeting activities, including providing equipment and warranty information to business units to facilitate technology refreshes
Ensure that all equipment is tagged and tracked in an asset management system in accordance with client’s Asset Management Process
Track hardware and software inventory using an asset management system to ensure records are accurate and provide traceability
Reconcile stock equipment records and provide reports to Finance to facilitate the accounting process

Knowledge of an asset management system a plus

EDUCATION and/or EXPERIENCE:

A minimum of 4 - 5 years of experience in IT procurement
BA/BS in Business Administration, Information Systems, Computer Science or a related field, or equivalent work experience
